Terms and conditions for advertising on Careers Online

  1. Careers & Employment and Careers Online
    1. Careers & Employment (C&E) is an administrative unit within the Academic Services Division of the University of Melbourne.
    2. Careers Online is an online database used by C&E to advertise vacancies to students and recent graduates of the University of Melbourne.
    3. C&E reserves the right to refuse any person or organisation use of this service.
  2. All vacancies submitted to Careers Online must comply with the Equal Opportunity Act 1995, Trade Practices Act 1974 and the Racial Discrimination Act 1975.
  3. Careers Online is designed as an employer self-service facility.
    It is the employer's responsibility to fully and satisfactorily complete all of the required information. Failure to do so may result in the vacancy not being accepted.
  4. C&E requires all advertisers to provide the following information:
    1. The name of the organisation or individual advertising the job vacancy.
    2. An Australian Business Number (ABN) except those advertising work for private households (e.g. gardening, child care, tutoring etc.).
    3. The full name of a contact person.
    4. The address and phone numbers (land line and mobile) of the organisation, individual or contact person.
    5. An adequate description of the nature of the work being offered, which relates to a genuine vacancy.
    6. An appropriate hourly rate of pay, or the name of a relevant award or job classification (immediate-start, part-time / casual vacancies only).
  5. Special conditions for recruitment agencies and other third parties
    1. Recruitment agencies and other third parties are charged $100 per advertisement. The maximum amount of time an advertisement can stay live on the system is three weeks for part-time and casual vacancies and four weeks for full-time vacancies. Invoices will be issued once an advertisement is approved and standard University of Melbourne payment terms apply - 30 days.
    2. Recruitment agencies and third parties must provide the name of the client organisation to C&E, if requested to do so. C&E will not disclose the name of the client organisation to anyone unless required to do so by law. Only genuine employment opportunities are to be submitted.
  6. Types of acceptable vacancies include, but are not limited to:
    1. Part-time, casual, and full-time paid employment;
    2. Volunteer opportunities (see further information under 7. Volunteer work);
    3. Unpaid work experience/ work placement (see further information under 8. Student Work Placements);
    4. Graduate employment programs;
    5. Vacation employment programs;
    6. Cooperative programs / IBLs / sandwich years;
    7. International employment vacancies;
    8. Vacancies for market research participants; and
    9. Vacancies for participants in research that has been approved by the University of Melbourne's Ethics Committee.
  7. Volunteer work
    A voluntary vacancy must meet the following criteria to be advertised on Careers Online:
    1. The vacancy is not more than 16 hours/week;
    2. The activity is not considered to be of high risk;
    3. The organisation offering the position has an ABN and is a not-for-profit entity (ie. any profit or gain cannot be distributed to owners, members or any other individual/s and must be used to further its charitable purposes. See the ATO’s definition of non-profit);
    4. The activity is recognised as being of benefit the community. (In deciding what is, and what is not "of benefit to the community", C&E must identify that the activity is not for private financial gain and that it is done for a charitable, philanthropic, benevolent, recreational, political, educational or cultural purpose);
    5. Students are notified on the advertisement via the standard C&E statement that the University insurance does not cover them for this position; and
    6. The position is not replacing paid workers, nor constituting a threat to the job security of paid workers.
    7. Volunteering Australia provides a very clear outline of the definitions and principles of volunteering on their website.
  8. Student Work Placements (SWP)
    ALL of the following conditions must be met for an unpaid work placement to be included in the SWP program:
    1. The position/duties are course-related and/or assist with professional skills development;
    2. The placement is between 40-80 hours in duration (preferably over a period no longer than 6 months);
    3. The placement does not involve duties of a high-risk nature, does not require an unconventional mode of travel (eg. jeep, helicopter, tank) and is not located in a remote area within Australia.
    4. The placement is primarily undertaken on commercial premises, or if field work, performed under appropriate supervision;
    5. The host employer must have an ABN (host employers must be a registered business, and an ABN verifies this). The employer can be a not-for-profit entity; and
    6. Host employers must agree to extend the provisions of the OHS 2004 Act No. 207/2004 to students on unpaid placements.
  9. C&E will not accept the following vacancies:
    1. Commission-only vacancies;
    2. Independent contracting arrangements (self employment) where students need to obtain an Australian Business Number (ABN);
    3. A vacancy lodged by a registered business offering "cash" or "cash in hand".
    4. Work offering "piece rates" i.e. where payment is per product produced, per delivery, per sale made etc. An hourly rate that is at least award wage level is required.
    5. "Business Opportunities";
    6. Modelling;
    7. Work involving any unpaid training/ trial periods, or reduced pay for training/ trial periods, except whereby a federal or state award makes allowances for such arrangements;
    8. Work involving any illegal activity;
    9. Any advertisement not advertising a genuine employment opportunity;
    10. Any work which requires the employee to purchase a product or service, or requires a security deposit or similar as a condition of employment.
  10. C&E reserves the right to withdraw or refuse any vacancy where:
    1. Non-compliance with these terms and conditions has occurred;
    2. Misleading or incorrect information has been provided;
    3. Complaints about the advertiser have been received; or
    4. The job opportunity is considered to be inappropriate; or
    5. The behaviour of the employer in his / her involvement with the University is deemed by Careers & Employment to be unethical.
  11. Liability
    1. C&E will be under no liability to users and recruiters in respect of any loss or damage (including consequential loss or damage) which may be suffered or incurred or which may arise directly or indirectly in respect of services supplied by C&E.
    2. Advertisers agree to indemnify C&E and its staff against all claims, actions, suits, costs and expenses incurred on any account by C&E as a result of their vacancy.
    3. Employers advertising on Careers Online must abide by these terms and conditions for employers. C&E checks that all opportunities featured on Careers Online comply with our terms and conditions for employers, however, we do not accept responsibility for advertisers who provide inaccurate, misleading or false information.
    4. C&E does not necessarily recommend or endorse any organisations or service providers featured on Careers Online.
    5. C&E does not act as an agent for the employer.
    6. Employers agree that all information they provide in their vacancy and services do not breach any law or the rights of any person (including legislation regarding Fair Trading, Equal Opportunity and Human Rights).
  12. Other information
    1. Advertisers can lodge vacancies via the internet at any time.
    2. All submitted vacancies need to be approved by C&E staff before being made available for access by students and graduates. Vacancies are processed Monday to Friday between 9.00am EST and 5.00pm EST, except for University holidays and national and state public holidays.
    3. C&E may use employers' email addresses to:
      • update them about Careers Online
      • clarify vacancy details as necessary
      • alert them to other services to facilitate recruitment
      • send career-related/ employment notices
      • undertake labour market research
      • assist in managing the Careers Online service
      • for liaison purposes with the University and its students
      • conduct syndicated or sponsored research on behalf of or in the direct interest of the University's strategic purposes
    4. C&E will not disclose to anyone else contact details stored by users on Careers Online without their consent unless authorised or required to do so by law except for the abovementioned purposes.
