Timetable Contact Responsibilities
The role of a timetable contact is a broad ranging one, as can be seen from the list of responsibilities below. Departmental Timetable Contacts are responsible for:
- Familiarising themselves with the Timetable Construction Timeline
- Subscribing themselves to the Timetabling Mailing list so as to keep abreast of Timetabling issues.
- Gathering comprehensive information from teaching staff in relation to how subjects should be taught in the following year.
- Entering the data gathered from Academics into the Activity Template Web Screens.
- Entering information into the details into the Staff Availability screens, or encouraging teaching staff to complete this themselves.
- Being aware of Student Set issues, and entering information in relation to subjects that should not clash where appropriate.
- Going to reasonable lengths to alert relevant teaching academics of the need to check timetable details whilst the Timetable remains in draft format.
- Liasing directly with the Timetable office in relation to timetable alterations or general timetable enquiries.
- Giving Academic Teaching Staff a general idea on the liklihood of it being possible for the Timetable Office to be able to action specific requests.
- Liasing directly with the relevant academic(s) should the Timetable Office advise of a need to make alterations to times and/or locations for specific classes due to clashes, undersized or oversized classes, or equipment failure.
- Advising the Timetable Office if there is an alteration of details for the Departmental Timetable Contact.
