Academic Timetabling Responsibilities
The placement of classes in specific venues and timeslots is done on the basis of information provided by teaching departments. In order to maximise the chances of a class being scheduled in an ideal location at the best possible time, it is strongly recommended that teaching staff:
- Familiarise themselves with the Timetable Construction Timeline
- Be prepared to give comprehensive information to Departmental Timetable Contacts as to how subjects should be scheduled for the following year in June/July. The better the information that the Timetable Office recieves at this stage of the Timetable Construction Process, the better the timetable for a subject will be.
- Check the Draft Timetable for the following year for all their subjects to ensure that times and locations are suitable for classes prior to students enrolling. The Draft Timetable is generally released around September. There is a two week window after it has been published in which chages to the draft version can be made prior to the final version of the timetable being released. Check the Timetable Construction Timeline for more information for dates of when the timetable is open in draft format.
- Advise the Departmental Timetable Contact as soon as possible if circumstances force the alteration of how a class is scheduled.
- Be aware that changes after the final version of the timetable has been released must have a suitable reason for the alteration and Head of Department approval. This is done in an effort to provide students with a stable timetable during their course planning phase. The final version of the timetable is generally released in late September, although this can alter. Check the Timetable Construction Timeline for more information on when the final version of the timetable is to be released.
