Internal Costs

Internal bookings will normally only attract a charge if they run after hours, or if attendees have to pay to attend. Depending on the nature of your event, you may be able to apply for an exemption from charges. For more information on the exact circumstances in which charges are applicable, see below.

Internal Costs

Building Supervision

It may be necessary to have a dedicated building supervisor present to provide support for your event. In this case, costs are applicable for 'after hours' events.

  • Building Supervision charges [PDF, 30kb] are only applicable if:
    • It is requested by you that a building supervisor attend the event.
    • It is determined by the Manager of Facilities Management that your event requires the services of a building supervisor.

After Hours Building Supervision Program for Internal Clients

After hours bookings by internal clients are exempt from any building supervision charges, subject to certain conditions. For more information on the program, please refer to the Afternoon and Weekend Building Supervision Procedures[PDF, 20kb].

Please note that 'after hours' refers to any weekday booking that finishes after 5:00pm, or any booking on Saturdays or Sundays.

Venue Hire

Venue Hire is generally not applicable for internal clients. If it is however, the cost of hiring a venue is dependent upon the type and size of location. Larger venues with more extensive Audio Visual facilities are naturally more expensive to hire than smaller rooms. Venues are hired out on flat half day (up to four hours) and full day rates.

  • Venue Hire charges [PDF, 30kb] are only applicable if:
    • Attendees are required to pay a registration or entry fee.

Equipment Hire

A limited number of Trestle Tables, Poster Boards and Urns are available to hire for a moderate fee - just indicate how many you would like for your event when filling out the booking form. The Venue Hiring office does not hire out any other items (beyond the equipment that comes free with the room). Some extra Audio Visual Equipment is available for Hire through Teaching Space Services.

Any other extra equipment, or extensive numbers of tables, boards or urns must be hired through an external provider. The Venue Hiring office will contact you to advise if this is necessary after you have booked your event.

Equipment Hire charges are only applicable if:

  • Trestle Tables, Poster Boards and/or Urns are requested for your event.

Audio Visual Technician

Our office generally recommends that the advice provided by the building supervisor on audio visual issues will be adequate. If you feel however that you may need more complex and professional assistance, then you may wish to acquire the services of an audio visual technician.

  • Audio Visual Charges are applicable if:
    • It is requested that an Audio Visual technician attend the event.

Cleaning

University spaces are generally cleaned in the early morning. If you would like to have the space cleaned prior to your event in the evening, please make sure that this is noted in the appropriate section on the booking form.

  • Cleaning charges [PDF, 30kb] are applicable if:
    • Extra Cleaning is requested for your event.

Free Public Lecture

Free Public lectures are exempt from all charges. Applications for Free Public Lecture status need to be made through the Vice Chancellor's office.

Venue Hire Fee Waiver

It is possible to have the Venue Hire fee fully or partially waived by the University. Fee waivers may be granted for certain events consistent with the University’s teaching, research and community development objectives. If you would like to apply for a fee waiver, please check the relevant box when making your online booking. The Venue Hire office will then forward you further information on how to apply.
